Reproduction Services

Policies & Procedures:

  1. In order to insure the careful handling of Archives materials, all copying and scanning are done or arrangements made by Archives staff. Personal duplication/reproduction equipment is not allowed in the reading room without prior permission.
  2. Archives will not reproduce entire manuscript or archival collections or extensive sections of collections.
  3. Archives and Records Management staff reserves the right to refuse duplication of materials based upon condition of the item, copyright or donor conditions. The decision to prohibit reproduction will be made by the staff member at the Library Services Desk; this decision is final.
  4. Certain materials cannot be reproductions because of restrictions placed upon the item by the donor or agency of origin. In every case, copyright law (Title 17 of the U.S. Code) and the doctrine of educational fair use (Section 107 of H.R. 2223) applies.
  5. Reproductions of materials housed in Archives are to be used solely for scholarly research. The department reserves the right to request the return of photocopies and/or scans. Copyright is not conveyed with the reproduction. The researcher must not quote from, publish, reproduce, or display any material, in whole or in part, without written permission from the copyright holder and from Archives. Transfer of reproductions to another library or repository is prohibited, except with written permission of the Head of Archives.
  6. Materials which Archives has obtained from other institutions or projects cannot be copied unless the researcher has obtained written permission of the original institution. The researcher assumes all responsibility for questions of copyright.
  7. Purchase or download of an image reproduction does not constitute permission to publish. An Application for Permission to Publish must be submitted and approved for any and all publications.

Photocopies:

The procedures for photocopy reproductions are as follows:

  1. Please complete the Photocopy Request Form
  2. Please be sure archives staff is aware of what needs to be copied.
  3. Please do not remove original material from folders. Turn the Photocopy Request Slip (yellow form) perpendicular and in front of the materials you would like copied in the folder. This will ensure the materials remain in order. For bound volumes (if it is permissible for the volume(s) to be copied) write the pages you would like copied on the Photocopy Request Form.
  4. Students pay at the Library Services Desk, all others will be billed.

Scanning:

The procedures for scanning reproductions are as follows:

  1. Please complete the Digitization Services Order Form
  2. Please be sure archives staff is aware of what needs to be scanned.
  3. Please do not remove original materials from folders.
  4. Students pay at the Library Services Desk, all others will be billed.
  5. For records that are too fragile to undergo scanning, patrons may consider using a personal camera to
    document the materials. Please see Personal Camera Use.

Photocopies:

Request for photocopies should be made to the staff member at the Library Services Desk.

Orders will not be completed on a while-you-wait basis. The normal turnaround time is 24 hours.

Exceptions are granted for requests of 10 pages or less. Large Orders may take several days to process.		 Format: Price:

Scans:

Please allow 4 business days to complete orders of 10 scans or less.

Orders with more than 10 scans may require additional time.

Many images are available for download at no charge from the Archives website; however, permission to publish is still required.

The possibility of rush service is based on staff availability and number of scans requested.

Architectural Drawing Reproductions:

The Archives abides by copyright protection for works of architecture. Protection includes all aspects of building design expressed in any tangible medium, including the structure itself, architectural drawings or
plans.

It is best to consult sources such as the Library of Congress Copyright Office's Copyright Claims in Architectural Works in order to understand protections and limitations. 		Resolution: Format: Price:

Digital Photographs by Archives Staff (for oversized items or artifacts):

Multiple images may be required to document an oversized item in its entirety. The Archives is not responsible for stitching together multiple images or any other digital manipulation.

These photographs are made using a handheld camera, for high-quality copy stand reproductions see information under "Architectural Drawing Reproductions".
